Gross Salary Range: Ksh 35,000 – Ksh 45,000

Job Summary

To provide accounting and administrative support for all the construction projects and act as the liaison between the project teams, finance and operations departments in ensuring all accounting standard operating procedures are followed.

S/he is responsible for the financial management and accounting and building effective relationships with both internal and external customers, service providers, consultants, government e.t.c in line with the set standards, existing policies and procedures

Duties & responsibilities

Financial Management and Accounting

  • Assigns cost plans for the projects by distributing funds into various categories of construction budget including but not limited to professional services and fees, equipment, technology, and construction
  • Facilitate internal reviews with the Director, Finance and Operations Department to ensure compliance with financial procedures and budgetary controls
  • Prepare and issue periodic financial and accounting reports and commitment forecasts to the supervisor/s and Director for reviews
  • Tracking and reporting on expenditures and ensuring a high level of cost management
  • Regularly reviewing and accounting for all project invoices and receipts and ensuring they comply with the work flow

Subcontractor Management

  • Processes all periodic pay requisitions and ensure all supporting documents are accurate.
  • Follow up with subcontractors to obtain any missing documents to ensure subcontractors and suppliers are paid on time and in compliance with the set financial frameworks
  • Support in the verification of all subcontractors to ensure they are compliant with the accounting principles and practices.

Project Administration

  • Perform various administrative tasks including: establishing supplier accounts, purchasing office supplies, answering telephones, filing, etc.
  • Support in the preparation of unit payroll and filling all relevant statutory deductions i.e. NHIF, PAYE,NSSF,HELB, etc
  • Collaborate with the Director/s, Operations, owners and any other stakeholder in the completion of the in-progress construction projects ensuring all assets/constructed facilities have been adequately reported
  • Support in the tracking and monitoring purchase orders for the department

Promote Customer Relations

  • Builds effective internal and external relationships with customers, subcontractors, suppliers, and user groups that reflect and support company core values and meets or exceeds the customer s expectations.

Compliance

  • Support to ensures compliance with reporting standards (Finance and Accounting policies) in line with the construction framework and laws
  • Support in the implementation of various construction accounting risk management procedures to mitigate financial risk, including the purchase orders

Others

  • Performs other duties as assigned from time to time

Qualifications & Skills:

  • Bachelors degree in Accounting or related field preferred
  • CPA Finalist
  • At least 3 – 5 years of experience, preferably in the construction or manufacturing industry.
  • Demonstrates proficiency in basic accounting
  • Demonstrates solid customer service skills and strong interpersonal skills
  • Demonstrates the ability to be a team player and function in a fast-paced, changing environment
  • Demonstrates proficiency in Microsoft products (e.g., Word, Excel, Office, Outlook), reporting and presentation tools.
  • Proven ability to solve problems creatively
  • Strong familiarity with project management software tools, methodologies, and best practices
  • Experience seeing projects through the full life cycle
  • Excellent analytical skills
  • Proven ability to support projects according to outlined scope, budget, and timeline
